Position Overview:

The Medical Support Assistant provides front-line administrative and customer service support within a clinical research hospital environment. This role supports patient admissions, appointment scheduling, reception services, and coordination of patient services while ensuring confidentiality, professionalism, and compliance with NIH policies.

Qualifications:

  • Job qualifications & certifications:
    • High School Diploma or GED (required)
    • NIH-required infectious disease documentation (measles, TB, influenza, etc.)
    • Completion of mandatory NIH training within 30 days of start
    • Ability to obtain and maintain NIH ID badge
  • Skills:
    • Strong customer service and communication skills
    • Proficiency in Microsoft Word and Excel
    • Ability to work in a fast-paced clinical environment
    • Professional demeanor and emotional intelligence

Key Responsibilities:

  • Provide in-person and telephone customer service to patients, families, and clinical staff
  • Register and admit patients; update demographic information in electronic medical record systems
  • Schedule, cancel, and manage patient appointments
  • Monitor patient wait times and communicate delays appropriately
  • Create and process patient travel vouchers and reimbursement documentation
  • Maintain reception areas, issue patient ID wristbands, and respond to medical emergencies per guidelines
  • Maintain strict patient confidentiality and Privacy Act compliance
  • Support inpatient and outpatient care areas
  • Float between Patient Support Services Department units as needed
  • Maintain professional appearance and adhere to NIH dress code
  • Comply with attendance, punctuality, and conduct standards
